Expose the Cost of a Broken Workflow Before You Pitch Automation
Turn a messy manual process into a simple cost-of-problem explanation that makes automation easier to justify.
Prompt Overview
Tips For You
If the current workflow cost still sounds small, the buyer will delay. Make the cost visible enough that doing nothing feels more expensive than fixing it.
From Operations TeamNexusAi TechnologyProblem It Solves
A lot of automation offers fail because the seller talks about tools, integrations, and efficiencies before proving what the broken workflow is already costing the business. Without a visible cost, there is no urgency.

Turns an annoying workflow into a visible business cost the buyer can understand quickly.
Buyer-Friendly Problem Framing
Rewrites messy operational pain into language that works better in discovery and sales conversations.
Faster Offer Justification
Helps users justify why a workflow deserves attention before proposing any automation solution.
AI Prompt Instructions
Act as a business workflow analyst who specializes in exposing the hidden cost of operational inefficiency.
Your task is to turn one broken or manual workflow into a plain-English cost explanation that helps a buyer understand why this problem matters before any automation solution is discussed.
Context:
Businesses rarely buy automation because it sounds modern. They buy when a workflow is clearly wasting time, causing avoidable mistakes, delaying revenue, creating follow-up gaps, burning staff energy, or making growth harder. This prompt is designed to help the user reveal that cost fast, using language a business owner would actually care about.
INPUTS:
1. Business type
2. Manual or broken workflow
3. Team member responsible
4. Time consumed per task or per week
5. Common delays, mistakes, or missed actions
6. Approximate business consequence
7. What happens if the workflow stays the same
OUTPUT REQUIREMENTS:
SECTION 1 — Workflow Snapshot
Summarize what is happening now.
SECTION 2 — Hidden Cost Breakdown
Explain the likely cost in terms of time, labor drag, inconsistency, missed follow-up, avoidable delay, quality loss, or lost revenue opportunities.
SECTION 3 — Why the Problem Persists
Explain why businesses often tolerate this issue even when it is hurting them.
SECTION 4 — Cost Language for a Buyer
Rewrite the problem in plain business language that a client or owner would immediately understand.
SECTION 5 — Simple Before-Automation Justification
Provide a short justification statement that can be used before pitching any solution.
SECTION 6 — Recommended Next Step
Recommend whether the workflow should move into audit, offer design, measurement, or proposal stage.
RULES:
- Do not jump into solution design
- Focus on the cost of the current state first
- Keep the output commercially clear and easy to repeat in sales conversations
- Avoid technical jargon
Expected Outcome
A quick cost-of-problem breakdown that shows why a broken workflow matters in business terms before any automation pitch is made.

6 minutesStore the strongest cost statements in Notion AI or Airtable
Move the output into Notion AI or Airtable so you can save the best cost arguments, buyer-facing language, and next-step recommendation for future outreach, discovery calls, or proposals.
5–8 minutesUse the cost explanation in sales discovery or follow-up
Use the generated cost language as the bridge into a deeper conversation. Instead of saying 'we automate workflows,' you can now say exactly what the current process is wasting and why the business should care.
